Scope and who we are
This Privacy Policy describes how Paladin AI ("Paladin," "we," "us," or "our") collects, uses, discloses, and safeguards personal information when people visit our websites, communicate with us, request demonstrations, apply for positions, purchase offerings, or use products and services made available by Paladin.
Our offerings may include AIDA™, client acquisition and relationship-management systems, AI-enabled communications, consulting, implementation, training, subscriptions, integrations, and third-party or licensed products or services we offer now or in the future. Specific services may be subject to additional notices, agreements, or data-processing terms.
Paladin AI and ExecHero® are distinct businesses. Some offerings use technology or services provided or licensed by ExecHero, including the ExecHero Decision Engine™ and ExecHeroGO. Where another provider independently controls personal information, its own privacy notice may also apply.
Our role when serving business clients
When we operate our own website, manage sales inquiries, bill customers, recruit personnel, or administer our business, we generally determine why and how the relevant personal information is used.
When a business customer uploads contacts, configures outreach, or uses AIDA or connected services to manage its relationships, that customer generally decides what information is submitted and the lawful purposes for its use. In those circumstances, Paladin and relevant platform providers may process information on the customer’s behalf under applicable agreements.
Business customers are responsible for providing appropriate notices, establishing lawful grounds and permissions for their data and outreach, honoring applicable opt-outs, and configuring their use of the services lawfully. Individuals seeking information about a business customer’s records should ordinarily contact that business first.
Information we collect
We may collect identifiers and contact details such as name, company, job title, email address, telephone number, mailing address, and account identifiers; inquiry, appointment, support, survey, and correspondence details; billing, transaction, subscription, and payment-status information (payment card details may be processed by payment providers rather than stored by us); account credentials and administrative preferences; and recruitment or application materials.
When clients use our services, information processed may include imported contacts, prospect and customer records, notes, lead sources, communications, recordings or transcripts where enabled and legally permitted, appointments, opportunity stages, preferences, interactions, and related operational information.
We may automatically collect device, browser, IP address, approximate location derived from IP, referral pages, usage events, cookie identifiers, diagnostics, and security logs. We may also receive information from integrations, customer-authorized sources, service providers, publicly available sources, and other parties as permitted by law.
How we use information
We use information to respond to inquiries; provide demonstrations; establish and administer accounts; deliver, configure, support, secure, and improve services; process payments; communicate operational notices; manage appointments; troubleshoot; detect abuse; maintain records; and meet legal obligations.
Where permitted and consistent with customer instructions and contractual commitments, systems may analyze communications and interaction history to support routing, follow-up, operational insights, reporting, AI-assisted responses, and decision-related functionality. Such analysis may generate inferences or recommendations about engagement or likely next steps; it is not a clinical diagnosis or a guarantee about any person.
We may use contact information to market our offerings where lawful and subject to applicable consent and opt-out requirements. We do not treat the mere submission of a form as blanket consent to all channels or automated marketing.
AI, automation, and decision intelligence
AIDA and related services may use AI models, automated workflows, communication providers, and the licensed ExecHero Decision Engine™ to process business context and interactions, support strategy and next-best-action decisions, and execute configured communications and workflows. Outputs may be inaccurate or incomplete, and users should apply appropriate human oversight.
Depending on the service configuration, data may be sent to contracted infrastructure, communications, AI, analytics, and technology providers to perform authorized functions. We do not promise that all data remains within a single system or that every provider follows identical retention or model-training practices. Applicable provider terms, customer configurations, and contracts govern those details.
We do not represent that Paladin sells or licenses ownership of ExecHero intellectual property. Use of third-party and licensed technologies does not automatically make those providers responsible for Paladin’s independent business practices.
Communications, calls, and messaging
We may communicate by email, telephone, SMS, or other channels for inquiries, appointments, service administration, and, where authorized, marketing. Message frequency varies; carrier messaging and data charges may apply.
Consent to receive marketing texts or automated calls is not a condition of purchase. Where required, we obtain the appropriate consent before sending marketing texts, prerecorded or artificial-voice calls, or other regulated communications. Recipients may reply STOP to supported SMS messages or use unsubscribe links in marketing emails.
Calls, messages, and meetings may be recorded, transcribed, or analyzed only where enabled and permitted by applicable law and required notice or consent. Customers deploying outbound communications are responsible for applicable telephone, text, email, recording, privacy, and industry-specific rules.
Cookies, analytics, and advertising
We may use necessary cookies and similar tools for site operation, security, preferences, analytics, conversion measurement, and advertising. Some providers may collect or receive device and usage information when their tools are enabled.
Where applicable law requires consent for nonessential cookies or offers an opt-out from targeted advertising or certain disclosures, we will provide the required choice mechanisms. Browser controls may also restrict cookies, although some functions may be affected.
We do not currently make a universal representation that we never “sell” or “share” personal information under every state privacy law; those terms can include certain advertising disclosures even without payment. Actual practices and required opt-out mechanisms should be verified before publication.
When we disclose information
We may disclose information to hosting and infrastructure providers, payment processors, CRM and communications platforms, AI and automation vendors, analytics and security providers, customer-support contractors, professional advisers, and technology or licensing partners, including ExecHero where relevant to delivery.
We may disclose information at a customer’s direction, in connection with authorized integrations, to comply with law or valid process, to investigate misuse or protect rights and safety, or in connection with a merger, financing, acquisition, reorganization, or sale of assets.
We do not disclose customer contact databases to unrelated third parties for their independent marketing merely because those contacts are processed through our services. Any additional sharing depends on the applicable service, instructions, permissions, and contracts.
Data retention
We retain information for periods reasonably necessary to provide services, administer accounts, comply with legal obligations, resolve disputes, maintain security, and enforce agreements. Retention varies by data type, service configuration, customer instructions, vendor systems, and legal requirements.
Deletion from an active account may not immediately remove information from backups, records that must be retained, or independent third-party systems. Customers may have additional retention and export controls within their platforms.
Security and account responsibilities
We use reasonable administrative, technical, and organizational safeguards appropriate to our operations. No online service, transmission, AI system, or storage environment can be guaranteed completely secure.
Customers and authorized users are responsible for protecting credentials, limiting access, maintaining lawful data sources, and configuring integrations and permissions. Please contact us promptly if you suspect unauthorized access involving our services.
Your privacy choices and rights
Depending on where you reside and applicable law, you may have rights to request access, correction, deletion, portability, information about certain processing, or opt-outs from targeted advertising, sales or sharing, or certain automated profiling. Rights and exceptions vary by jurisdiction and context.
To submit a request, use the contact information below. We may need to verify your identity and determine whether Paladin or a business customer controls the relevant records. If we process data on behalf of a customer, we may refer the request to that customer or assist it as required.
You may opt out of marketing emails through the unsubscribe link and supported SMS messages by replying STOP. Opting out of marketing does not necessarily prevent necessary transactional or service messages.
Sensitive information and regulated industries
Our services are not inherently a substitute for industry-specific compliance programs. Clients in healthcare, financial services, or other regulated sectors must assess applicable requirements and obtain any necessary agreements and configurations before submitting regulated or sensitive data.
Do not upload protected health information, payment-card data, government identifiers, or other sensitive information into a service unless the relevant agreement, configuration, and safeguards expressly authorize that use. A HIPAA business associate agreement, when legally required, must be executed before the relevant processing begins.
Children
Our business services are not directed to children under 13, and we do not knowingly collect their personal information through our own marketing websites. If you believe a child has provided information to us improperly, please contact us so we can review the matter.
International processing
Information may be accessed, stored, or processed in the United States and other countries where we or our service providers operate. Applicable protections and transfer requirements depend on the service and jurisdiction.
Changes to this policy
We may revise this Privacy Policy to reflect changes in our services, technologies, legal obligations, or data practices. We will post the revised version and update its effective date. Material changes will be communicated where required by law.
